Terms of Service
1.1 Overview
These Terms of Service (“Terms”) govern the access and use of Staygent’s software and automation services (“Services”). By signing up, subscribing, or using the Services, you agree to be bound by these Terms. Staygent LLC provides automated communication tools designed to support short-term rental hosts. Staygent does not act as a property manager, emergency response provider, or customer service agent of record.
1.2 Eligibility
Users must be at least 18 years old and legally able to enter binding agreements.
1.3 Payment & Subscriptions
Staygent offers subscription billing through Stripe:
Monthly subscriptions auto-renew until canceled by the customer.
Annual subscriptions are single-payment, non-cancelable, and non-refundable after purchase.
Pricing may be updated with reasonable prior notice.
Failure to complete payment may result in suspension or termination of access.
1.4 Customer Responsibilities
Customers are solely responsible for:
The accuracy of rental information provided to Staygent
Ensuring communication content complies with applicable laws
Monitoring escalated alerts and emergencies
You agree not to use the Services for unlawful, abusive, or fraudulent activity.
1.5 Service Availability
Staygent strives for reliable performance but does not guarantee uninterrupted service. Automated responses may be delayed or unavailable during outages of third-party systems.
1.6 Limitation of Liability
Staygent shall not be liable for:
Loss of income, bookings, or reviews
Guest dissatisfaction caused by delayed or incorrect information
Emergency situations where response or escalation fails
Maximum liability is limited to fees paid in the prior 3 months.
1.7 Termination
Staygent may suspend access for violation of these Terms or unlawful use. Customers may cancel monthly billing at any time.
1.8 Governing Law
These Terms are governed by the laws of the Commonwealth of Kentucky. All disputes shall be resolved in the state or federal courts located in Jefferson County, Kentucky.
Privacy Policy
2.1 Data We Collect
Staygent collects and processes:
Host account information (name, email, property details)
Guest communication data (messages, call transcripts)
Automation workflow data
2.2 How Data Is Used
Data is used to:
Provide automated communication and response features
Improve accuracy and functionality of the Services
Notify hosts when guest input requires manual attention
We do not sell guest or host data to third parties.
2.3 Data Storage
All messages, replies, and call transcripts are stored:
In Google Sheets owned by or shared with the host
Within secure automation workflows in n8n
Data is retained indefinitely, unless the host requests deletion.
2.4 User Rights
Hosts may request:
Data export
Correction of inaccurate information
Permanent deletion of retained data

3. Cookie & Tracking Notice
Staygent may use cookies or tracking technologies to:
Measure website usage and performance
Improve user experience
No third-party analytics tools (e.g., Google Analytics) are currently active. This notice will be updated if tracking expands.
4. AI Automation & Responsibility Disclosure
Staygent automates guest messaging on behalf of property hosts. AI technology may assist in generating responses.
Staygent does not:
Provide emergency services
Guarantee issue resolution
Make decisions affecting safety or property condition
In emergencies, the system only notifies the host and shares host contact information. Hosts are fully responsible for responding appropriately.
5. Acceptable Use Policy
Users may not:
Use the Service for harassment or discrimination
Submit harmful or illegal content
Attempt to exploit or reverse-engineer the platform
Misrepresent identity to guests
Violation may result in immediate suspension of Services.
6. Third-Party Service Disclosure
Staygent uses the following providers to deliver functionality:
Twilio — telecommunication services (voice & SMS)
Google (Sheets, Workspace) — data storage and email routing
Vapi — voice AI assistant functionality
OpenAI — automated response generation within workflows
n8n — automation orchestration and workflow logic
Stripe — payment processing
Use of these services is subject to their own terms and privacy policies.
Staygent does not control the uptime or accuracy of third-party systems.

8. Refund & Cancellation Policy
8.1 Monthly Subscription (No Refunds)
Monthly subscriptions renew automatically every 30 days until canceled by the customer.
Customers may cancel anytime through the Stripe Customer Portal or by contacting support.
Cancellation stops future renewal but does not trigger any refund for the current billing period.
All monthly subscription payments are final and non-refundable.
8.2 Annual Subscription (5-Day Refund Window)
Annual plans are billed upfront for 12 months of access. Customers may request a full refund
within 5 calendar days of the initial purchase. After 5 days, the annual plan becomes fully
non-refundable. Cancellation will prevent future renewal but will not provide any prorated refund.
8.3 Payment Failures & Disputes
If a payment fails, Staygent may pause or terminate service access until the issue is resolved.
Chargebacks or repeated payment disputes may result in permanent account closure.
8.4 How to Cancel
Customers may manage billing, update payment methods, or cancel subscriptions at any time through
the secure Stripe Customer Portal. A cancellation request submitted through the portal goes into
effect immediately for future billing cycles.

8.5 Promotional Pricing
Discounts, referral credits, or promotional offers apply only to the specified term and are not
refundable or exchangeable for cash value.
If any portion of these terms is deemed unenforceable, the remaining sections remain in effect.
By using Staygent, you acknowledge that you have read, understood, and agree to these Terms and Policies.
